How to Arrange Treatment in Germany. A Patient Roadmap

Are you hesitating about travelling to Germany for a work-up or treatment? Is the language barrier holding you back? Are you ready?

Your enquiry

You send us an enquiry by e-mail, via WhatsApp  or through the contact form on the msp group germany website, setting out the diagnosis and symptoms, together with scans of the photo pages of the passports of the patient and the accompanying person, and up-to-date test results. ... If you do not have documents translated into German or English, you can order the translations from us. Upload your radiology images in DICOM format on the feedback form page, place them on a file-sharing service, or send them to us in any other way convenient for you. If you have no documents to hand, or you simply wish to undergo a diagnostic work-up, describe your symptoms and what you would like the diagnostics to cover.

Initial processing of the enquiry

We study your medical documents and issue you an advance invoice covering our services: processing the enquiry, individually selecting the hospital and the specialist, and providing medical management of the examination and treatment programme. Our fees for processing an enquiry are listed below. ... If the case is a more or less standard one, we will tell you the approximate cost of diagnostics and treatment, the name of the hospital and the names of the specialists. All terms of our work and our obligations are set out clearly.

Medical programme and cost estimate

It takes the hospital from 7 days to 14 working days to process a treatment enquiry. Every clinical case is reviewed strictly individually, taking into account age, risk factors, comorbidities and so on.  ... We provide you with the original cost estimate and a translation of its main items, along with the programme of diagnostic and/or treatment measures.  Please note that this is not an invoice but a preliminary cost calculation; it covers the cost of diagnostics, outpatient and inpatient treatment, professors’ fees, the deposit held in case unforeseen circumstances arise during treatment, the names of the treating doctors and the approximate duration of the programme.

Preparing your trip

Once the hospital’s programme and cost estimate have been provided to you, we agree the dates of your trip and book the dates of your first appointment or admission. ... If you and the people travelling with you do not hold Schengen visas, the full amount of the estimate must be transferred to the hospital’s bank account as a non-cash deposit* in order to obtain the hospital’s letter of invitation. Once the money reaches the hospital, we arrange visa support from the medical institution for you. If you already hold Schengen visas, the advance deposit for medical services can be paid in cash at the hospital’s cash desk on the day of registration. *At present, obtaining a treatment visa is quite difficult. It is much easier to enter Germany for treatment on a long-term tourist visa.

Agreeing additional services

We inform you of the cost of our additional services: medical interpreting, airport transfer, concierge service, sightseeing and other transport services, and so on. ... Once the scope of services has been agreed, we issue you an invoice for our additional services. All German hospitals insist that a certified medical interpreter be present at every consultation, examination and medical procedure. The interpreter not only handles communication with the doctors and the administration, but also helps with filling in forms, treatment contracts and written informed consents for invasive procedures, and with resolving every question connected with treatment in Germany. That is why, however good your English may be, we regard this as a core service.

Logistics

At your request we book the hotel of your choice, while you book your flights or train tickets.  ... If you have ordered transfer services, a member of our English-speaking staff will meet you at the airport or the station with a sign bearing your name, take you to your hotel and help you check in. On the day of your first appointment, our interpreter will be waiting for you at the hospital.

Keeping the patient and the treating doctors in contact

msp group germany forwards medical documents, prescriptions and doctors’ recommendations to its clients, provides consultations on adjusting drug therapy,  ... ships medicines, monitors settlements between clients and hospitals, supplies invoices and medical reports for insurance companies, and keeps regular clients informed about medical innovations*. * Forwarding prescriptions, medicines and hygiene products is charged separately. The exception is patients who have paid for the “all-inclusive” package.

Transfer

Do you need a transfer from the airport or the station? Our transfer prices are considerably lower than taxi fares. The transfer fee is fixed: the number of passengers and pieces of luggage does not affect the price.

  • Pick-up / drop-off: Frankfurt airport: from 300 euros
  • Pick-up / drop-off: Brussels airport: from 300 euros

Accompaniment by the driver as far as the check-in desk and the Tax Free desk is subject to a surcharge of 30 euros.
Pick-up / drop-off using a wheelchair provided by msp group germany — surcharge of 45 euros.  

Please note: the prices quoted apply to pick-ups and drop-offs during normal working hours, from 09:00 to 18:00. Evening, night-time and early-morning pick-ups and drop-offs carry a surcharge of 30 euros on top of the daytime rate.

Car with a driver-interpreter (trips around Europe, shopping): 1,50/km + 20/hour.

Interpreting services

If the patient does not have a professional command of medical terminology in English or German, the presence of an interpreter at examinations, ward rounds and consultations is an absolute requirement imposed by the hospitals. Having an interpreter at every important discussion, consultation and examination makes the doctors’ job easier and saves you time and money. The interpreter-coordinator helps you to register at the hospital, complete contracts, make payments and fill in questionnaires; translates spoken and written descriptions of examinations, including information on possible health risks; arranges the times and dates of scheduled consultations and examinations, and takes part in consultations and diagnostic procedures. If you are admitted as an inpatient, the interpreter will help you settle a host of everyday matters — arranging internet access, buying a phone card and placing meal orders. The interpreter attends every consultation, examination and medical procedure; they  will help you communicate with the doctors and the hospital administration, coordinate and keep track of your appointment schedule, and promptly resolve every question connected with your treatment in Germany.

Written translation services

If you wish, you can order, for an additional fee, the translation of your medical history from Russian into German and, after the examinations and treatment carried out in Germany, the translation of your medical documents (operation reports, discharge summaries, test results) from German into Russian. The cost of translation depends on the complexity of the text and how urgently the translation is needed.

Medical transport

msp group germany arranges urgent patient transport by air-ambulance planes and helicopters staffed by medical crews. All aircraft and helicopters are equipped with everything needed to provide care during the flight. Transport from the airport to the hospital is by helicopter or by a specially equipped ambulance. The cost of air-ambulance services is available on request.

Personal programme coordinator services

The services of a personal programme coordinator are practically identical to the “all-inclusive” package in the field of medical support for international patients, and they are put together according to the patient’s individual wishes. A medical case manager is, first and foremost, the link between the patient, the treating doctors and the hospital administration. The case manager monitors the implementation of the treatment plan and draws up a comprehensive, coherent and maximally efficient programme for the patient’s stay from the moment of arrival in Germany. The case manager represents the client’s interests throughout the whole treatment process, explains the purpose of every procedure, and helps to speed up access to services that may become urgently necessary during the work-up. The case manager is the patient’s trusted representative in German hospitals: acting under a power of attorney, they receive and forward all medical reports, test results, invoices and other documents. In addition, the case manager maintains contact with the doctors and the hospital administration. For VIP patients, the case manager arranges anonymous storage of documents in hospital databases and anonymous examination and treatment. The duties of a personal programme case manager include:

— reviewing medical reports;
— selecting the hospital and the doctors according to the specifics of the disease;
— developing, planning and agreeing an individual programme for the stay, examinations and consultations;
— booking dates for appointments, examinations, admission and surgery;
— visa support;
— medical interpreting;
— maintaining a personal archive in electronic and paper form;
— keeping a calendar of medical appointments;
— comprehensive 24/7 support and service throughout the stay in Germany;
— booking appointments with a second and a third specialist (obtaining what is known as a “second expert opinion”) or with specialists in other fields (on request) for the patient or the accompanying persons;
— arranging expert reading of imaging studies, repeat histopathology reviews and remote expert reviews of treatment protocols;
— assistance with extending medical visas within Germany;
— maintaining contact with the treating doctors after the patient returns home;
— liaising with qualified medical translators;
— arranging emergency admission to German hospitals if the condition worsens;
— administrative support (monitoring financial settlements between the patient and the hospitals);
— arranging concierge services (on request and for an additional fee);
— selecting and booking rooms in hotels and guest houses, and apartments; — coordinating drivers, carers, childminders, guides, cooks, masseurs, physiotherapists and so on;
— help with obtaining documents for insurance companies;
— help with contacting hotel management;
— assistance in obtaining confirmation from the treating doctor for the airline if the return flight has to be rescheduled;
— assistance with car hire;
— booking restaurant tables;
— ordering taxis;
— booking excursions;
— help with organising shopping trips;
— help with buying a German SIM card and public transport tickets;
— arranging medical procedures and examinations in Moscow, St Petersburg and Voronezh;
— coordinating the supply of prescription and over-the-counter medicines and hygiene, care and preventive products to the patient during the stay for treatment and anywhere in the world.

Cost of personal case manager services for a period of 3 months: 1200 euros.
